WEEKLY REPORTS
Here are a few reports that we recommend running on a weekly basis.

Last Payment Summary Report

This report shows all students that have a cash amount that they are scheduled to pay monthly and the last payment that was posted to the ledger for their record. This will help determine whether or not a student is late with their monthly payment.

Last Payment Aging Summary Report

This report is the same as the Last Payment Summary except it will show how late students are on their scheduled payment (in relation to 30/60/90/120 days late).

Contract Graduation Approaching Report

This report will show you who is expected to graduate, or has a contracted graduation date, within the next thirty days. This report is valuable, as you may prepare over contract calculations on the students, as well as counsel the students based off of the provided information. This is a good report to discuss with the director, as you should get an idea of who will be extending their enrollment, as well as who you need to focus on regarding attendance issues.

When this report is queried for a date range it will give you the ability to determine who has missed time within the date range you specified. Meeting with the director and pinpointing the students with attendance issues is the first step to turning attendance around. Once you run this report, you may highlight the students that have missed more than what your school permits. You may call these students in to meet with you and the director, and run an evaluation report on them to document your counsel with them. Please refer to your schools policy and procedures for absences and minimum attendance.

Financial Aid Disbursement Pending Date Range Report

This report shows any financial aid awards that have an Anticipated Disbursement Date, within the date range, and also still have a Remaining Amount, which indicates that the award has not been disbursed. You can use this report to predict how much federal aid (and/or scholarships and grants) will be expected to be received in a future date range. It can also be used to determine if any financial aid was not disbursed in the past.

The Disbursement Forecasting report calculates a rough estimate of when your students will reach their next payment periods. This is based off of each student’s attended hours compared with their start date and their schedule. This report is valuable and can be used to estimate when students will have attended any number of contract hours, and it can be divided into up to eight different periods. For example, if you wanted to calculate an estimated contract graduation date and maximum time frame date for a particular Start Date, you can create a mock student and schedule them out for a couple of years and then run this report for the mock student and change the Period 1 field to the contract hours and the Period 2 field to the maximum time frame hours (which can be found on the Max Time Frame Guide).

Total Hours Summary Report

This is an attendance report that will provide you with the total hours of each student. You can query this for a certain day and it will give you not only the total hours cumulatively, but also the hours a student obtained on the date that you chose.

Scheduled vs. Actual Hours Start Date Range Report

This report pulls its information from the schedule page and also the attendance page. It is important that these two areas are correct in order to allow the report to calculate the attendance percentage for days and for hours, for the date range that you specify.
