MONTHLY REPORTS
Here are a few reports that we recommend running on a Monthly basis.

Earnings and Receivables - Details Report

This report displays financial information and calculations for each student. It will show your value per hour, as well as the breakdown of what the students have paid in relation to fees, tuition, etc., within a date range. This is the most common report used by accounting.

Tips: This report uses Posted Date data, not Disbursed Date.

Scheduled vs. Actual Hours Prior Month Report

This report will show you the prior month’s scheduled hours for each student, as well as the hours the student actually obtained. This is a good report to look at to see not only if someone is missing time from tardiness or absences, but to also identify anyone who is exceeding the program. It is just as important to counsel students who are missing time as it is to determine who is exceeding. Pell and loans are not only certified off a number of hours, but also a number of weeks. Someone who finishes the number of hours prior to completing the number of weeks is exceeding the program. This is a good report to run and have available to those who are approving students to make up time. If the percentage of attendance is over, or close to being over 100%, the student should not be allowed to sign up for makeup time as they do not have makeup time to complete.

This report is used in most schools as a report card. Academic Transcripts Prior Month will show all completed tests and labs, as well as cumulative percentages for GPA, Scheduled vs. Actual, and projected dates. Please see the Basic Setup section to record the name and title of the school representative for the signature line. It is also recommended to print the Attendance History Prior Month and attach it to this report, so the students can see each day of the prior month and what hours they completed for each day. You may also run a Ledger Statement for each student to provide the student with not only the grades and attendance, but also the payment activity for the prior month.

This report is a record of all payments received on the student account.

Monthly Attendance Hours Report

This report will show the student hours for each day of the selected month and give cumulative percentages on attendance.

Progress Report

The progress report can be utilized as a report card when meeting with the student. It provides profile and cumulative date such as the Start Date, Contract Grad Date, Last Date of Attendance, GPA, Total Hours Scheduled, Total Hours Attended, and other data. In addition, it lists the labs and tests the student has completed. The progress report gives you the information needed to know if they should be placed on honor roll or SAP, as well as probation or suspension.
