DJA New Leaf Integration SOP

The New Leaf Integration allows schools to import and post New Leaf disbursements directly into OnlineSMART student profiles.

Important:
Students must be properly matched between New Leaf and OnlineSMART before disbursements can be uploaded successfully.

Accessing The New Leaf Integration

Navigate to:

Administration → New Leaf

The New Leaf Integration contains four primary tabs:

Setup
Campus
Students
Upload

Setup Tab

The Setup tab stores the connection credentials required to communicate with DJA New Leaf.

Enter the following information provided by DJA:

API Key
Username
Password

Once all information has been entered, select:

Save

Campus Tab

Campus Selection

The Campus tab determines which campus participates in the integration.

For multi-campus schools:

Select the appropriate campus location.

For single-campus schools:

Select the only available campus.

Deployment Date

The Deployment Date determines when New Leaf imports begin.

This prevents previously-entered historical disbursements from being imported a second time.

Note:

The Deployment Date is configured by SMART during the initial implementation of the New Leaf Integration.

Once configured, the Deployment Date is not editable by school users.


After making changes, select:

Save

Student Matching

The Students section contains two tabs:

Unmatched
Matched

Unmatched Students
Students received from New Leaf appear in the left column.

Use the dropdown menu to select the matching OnlineSMART student profile.

Students must be matched before disbursements can be uploaded automatically.

After creating matches, select:

Save



Matched Students
Displays all students currently matched between New Leaf and OnlineSMART.

Existing matches may be modified when necessary.

After making changes, select:

Save

Upload Tab

The Upload section contains two tabs:

Upload
Upload Log

Upload
Available disbursements awaiting posting are displayed on this page.

Select the checkbox beside the disbursement(s) you wish to post.

One or multiple records may be selected.

To upload the selected records, click:

Upload To Profile

The selected disbursements will be posted to the corresponding OnlineSMART profile ledger.

Note:

Ledger postings created through the New Leaf Integration are automatically identified within the student ledger.

Imported postings will appear in bold and display:

NewLeaf Import - [Program Name]

in the Check Number field.

This allows imported transactions to be easily distinguished from manually-entered ledger postings.

Attention:

Disbursements uploaded through the New Leaf Integration will be created as DISB transactions and will automatically allocate to the Tuition ledger field.

SMART recommends reviewing student ledgers after each upload to verify allocations and make adjustments as needed.

Common allocation adjustments may include:
  • Tuition
  • Books
  • Kits
  • Fees
  • Other applicable ledger categories
Reviewing allocations after uploading helps ensure financial postings are accurately reflected within the student's ledger.




Upload Log
The Upload Log maintains a history of all previously completed uploads.

Each entry displays:

Date / Time Uploaded
Number of Students Included
User Who Performed The Upload

To review a previous upload in greater detail, select:

Run Detail Report



Upload Detail Report
The Upload Detail Report provides a complete breakdown of all postings included in a specific upload.

Available information includes:

Student Name
Enrolled Course
Permit Number
Disbursement Amount
Title IV Program
Disbursement Date
Posting Date
Posting Type
Date Upload Was Completed
User Who Performed The Upload

This report can be used to verify exactly which postings were transferred into OnlineSMART.
