Milady Grade Import Tool SOP

Use this SOP to configure and utilize the Milady Grade Import Tool. Initial setup is required before grades can be imported.

Important:

Before grades can be imported:
• OnlineSMART Test Definitions must contain a Milady Grade ID
• Student Profiles must contain a Milady ID

Initial setup only needs to be completed once.

Part 1 - Initial Setup

Configure Test Definitions

  1. Log into the Milady/CIMA system.
  2. Navigate to Reports → My Reports.
  3. Select + Custom Report.
  4. Enter the following:
    • Name: SMART Test Definitions
    • Description: SMART Test Definitions
    • Library: School
    • Report On: Assessments
  5. Save the report.
  6. Open the Columns section.
  7. Select:
    • LMS ID
    • Category
    • Course Name
    • Title
  8. Run the report.
  1. Open Definitions → Tests in OnlineSMART.
  2. Locate the matching Test Definition.
  3. Enter the LMS ID value into the Milady Grade ID field.
  4. Save the Test Definition.

Configure Student IDs

  1. Navigate to Reports → My Reports.
  2. Select + Custom Report.
  3. Enter the following:
    • Name: SMART Students
    • Description: SMART Students
    • Library: School
    • Report On: Users
  4. Save the report.
  5. Open the Columns section.
  6. Select:
    • LMS ID
    • Last Name
    • First Name
  7. Run the report.
  1. Open the student's Academics tab in OnlineSMART.
  2. Enter the LMS ID value into the Milady ID field.
  3. Save the student profile.


Part 2 - Grade Imports

Create Grade Import Report

  1. Navigate to Reports → My Reports.
  2. Select + Custom Report.
  3. Enter the following:
    • Name: SMART All Grade Import
    • Description: SMART All Grade Import
    • Library: School
    • Report On: Assessments
  4. Open the Columns section.
  5. Add the required Assessment and Learner Submission fields.

  6. Configure the required Filters.
  7. Configure the required Organize settings.
    • Under Assessments, Set Grading → Normal
    • Under Learner Submissions → Graded at, Select User Prompt checkbox and set value to Date Range
    • Under Learner Submissions → Graded at, Set value to "Has Value"
  8. Move the items available to match the image below and Rename:
    • Assessment LMS ID → TestID
    • Learner Submission LMS ID → StudentID
  9. Configure the required Sort settings.
    • Under Learner Submissions, set LMS ID/StudentID → Ascending
    • Under Assessments, set LMS ID/AssessmentID → Ascending
    • Under Learner Submissions, set Score → Descending
  10. Run the report.
  11. Export the report file.

Import Grades into OnlineSMART

  1. Open the Milady Grade Import Tool.
  2. Select the exported report file.
  3. Upload the file.
  4. Review the results.
  5. Verify grades imported successfully.
  6. Review any skipped or duplicate entries.
